Privacy and cookies
This notice explains what information Hillside Bed & Breakfast keeps about guests and visitors to this website, why, and what your rights are.
Who we are
Hillside Bed & Breakfast is run by Susan Pugsley, who is responsible for your personal information.
Hillside, Sandford, Crediton, Devon EX17 4NH. Email bookings@creditonbandb.co.uk or call 01363 772050.
What we collect
- Your booking: your name, email address, phone number, dates of stay, number of guests, and whether the room is booked as a double or twin.
- Payment: the amount you pay. Card payments are taken by Stripe through our booking system, freetobook. If you pay by phone, we enter your card details straight into the secure booking system and never write them down. We do not store your card number ourselves.
- Messages: emails, calls and other messages between us.
- Who is staying: the names of everyone in your party. Your booking record in freetobook is also our guest register.
- Requirements you tell us about: dietary, allergy or food preferences, and any accessibility, mobility or other special requirements, if you choose to share them. We use this only to look after you during your stay, and keep it with your booking record.
- Reviews: any review you leave, which may be shown on review websites and on our website.
Why we use it
- To take and manage your booking and look after you during your stay, because we need it to provide the room you booked.
- To answer your questions, because it is in our legitimate interest to reply.
- To keep the records the law requires, such as tax records and the guest register.
- Information about allergies, health or accessibility is used only because you have chosen to tell us, and only to look after you.
- After your stay, freetobook emails you once on our behalf to ask for a review. Let us know if you would rather not receive it.
We do not sell your information, and we do not send marketing emails.
Who we share it with
- freetobook, which runs our booking system. freetobook and Hillside are joint controllers of your booking information; freetobook's guest privacy policy explains how they handle it.
- Stripe, which processes card payments.
- Booking.com and other booking websites, if you booked through them. Their own privacy notices also apply.
- Review websites such as Google and Tripadvisor, if you choose to leave a review there.
- The police or other authorities, only when the law requires it.
How long we keep it
- Booking details: kept in freetobook, including the guest register and any requirements you told us about, for as long as needed to meet legal obligations and to make future bookings easier.
- Tax records: for as long as HMRC requires.
- Emails and messages: for as long as we need them to deal with your booking or question.
Your rights
You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it or stop using it. Contact us using the details above and we will reply within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Cookies
This website does not set any cookies of its own and does not track your visit.
- Booking calendar and reviews: these come from freetobook. They do not set cookies on our pages. The reviews feature saves a copy of our reviews in your browser so they load faster; it holds no information about you. When you choose dates and continue, you move to freetobook's secure booking pages, which are covered by freetobook's guest privacy policy.
- Map: our Google map only loads if you choose to show it. Google may then set cookies; see Google's privacy policy.
